Draft, not yet reviewed. Highlighted brackets are details we still need to fill in. This page is not legal advice and is not yet in force.

This policy explains how VoiceBridg handles personal information when we answer calls for HVAC companies and when you use voicebridg.com. It is written for homeowners who call an HVAC company we answer for, for the contractors who use our service, and for visitors to this website.

Who we are

VoiceBridg is operated by [legal entity name], [registered address]. Our team works remotely from India. You can contact us at hello@voicebridg.com.

Two roles: contractor and VoiceBridg

When you call an HVAC company that uses VoiceBridg, that company decides why your information is collected. We handle the call for them and process your information on their behalf. For our own website, our own sales and our own accounts, VoiceBridg decides, and this policy applies directly.

What we collect

When you call an HVAC company we answer for:

  • Your phone number, and your name, address and a description of the problem, as you give them.
  • The call recording and a transcript of it.
  • The outcome: for example, a booked job, an emergency passed to a technician, or a message.

When you use this website or contact us: your name, email, phone number and company details if you fill in a form, and usage data from analytics tools such as pages viewed and the device and browser used.

How we use it

We use call information to answer your call, book or pass on the job, send confirmations, and give the HVAC company a record and a daily report. We use website and form information to reply to you, run our service, keep it safe and understand how the site is used. We do not sell personal information.

Calls are answered by AI, with people behind it

An AI assistant answers calls for the HVAC company. If you ask whether you are speaking to an AI, it will tell you, and you can ask for a person. Our trained desk can take over a call. Calls may be recorded and transcribed. Recording and disclosure rules differ by state, and the HVAC company is responsible for choosing how calls are disclosed. [Describe the recording notice played to callers, if any.]

Who we share it with

We share information with:

  • The HVAC company you called, who receives the recording, transcript and details.
  • Service providers who help us run the service: telephony, cloud hosting, voice and AI processing, messaging, email and analytics. They may use the information only to provide those services to us. [List providers or link to a sub-processor page.]
  • Authorities or others when the law requires it, or to protect people's safety.

Mobile numbers and text-message opt-in information are not shared with third parties for marketing purposes.

Where it is processed

Our team is in India and our providers may be in the United States and elsewhere, so information may be processed outside your country. [Describe safeguards for transfers, if required.]

How long we keep it

The HVAC company sets how long call recordings are kept; they are then deleted automatically. [State default retention periods for recordings, transcripts, and website and form data.]

How we protect it

Transcripts are encrypted with AES-256. Phone numbers are masked in our interface, personal details are redacted automatically in transcripts, and access is limited by role and protected with multi-factor authentication. No system is perfectly secure, and we cannot promise it is.

Your choices and rights

Depending on where you live, you may have the right to ask what we hold about you, to correct or delete it, and to object to or limit some uses. For information from a call, we will pass your request to the HVAC company where they decide, and we will help them respond. To make a request, email hello@voicebridg.com. [Add state-specific rights wording, for example California, and the response time.]

Text messages

Our text-message practices are described in our SMS terms. Reply STOP to any message to opt out.

Children

Our service is for businesses and is not directed to children under 13. We do not knowingly collect information from them.

Changes

We will post changes here and update the date at the top. If a change is significant, we will say so on this page.
